Low-stock automation should help a business act earlier without blindly creating purchase orders from unreliable numbers. The workflow depends on accurate inventory, realistic lead times, and clear ownership more than on the notification channel.
Define available inventory correctly
Decide whether the calculation uses on-hand, committed, incoming, damaged, and safety stock. A practical form is:

Use one inventory system as the source of truth. If sales channels update at different speeds, include a buffer and monitor synchronization delays.
Set reorder points by item
A fixed threshold for every product ignores demand and supplier lead time. Start with average demand during replenishment lead time plus safety stock. Review seasonal products and volatile items more frequently. Record who approved each threshold and when it was last reviewed.
Build the alert payload for action
Include SKU, product name, available quantity, reorder point, recent sales rate, open purchase orders, supplier, typical lead time, and a link to the inventory record. Group alerts into a scheduled digest when minutes do not matter; constant individual messages become noise.
Prevent repeated alerts
Keep a state such as New, Acknowledged, Ordered, Snoozed, and Resolved. Do not create a fresh task on every inventory sync while the same shortage remains open. Re-alert only after a defined period, a worsening threshold, or a missed expected delivery.
