Appointment reminders can reduce preventable no-shows, but sending more messages is not the same as building a good workflow. The system needs accurate contact details, clear confirmation choices, timezone handling, and a fast path for rescheduling.
Start with a clean booking event
Trigger only after a booking is confirmed. Capture the appointment ID, customer, service, location or meeting link, start time with timezone, assigned staff member, and communication consent. Use the appointment ID throughout the workflow so reschedules update the existing sequence.
Choose a restrained reminder sequence
A common starting pattern is a confirmation immediately, a reminder 24–48 hours before, and a short reminder a few hours before. Adjust based on booking lead time and service type. A consultation booked this morning for this afternoon should not receive three compressed messages.

Respond to customer actions
A confirmation should stop confirmation prompts. A cancellation should cancel pending reminders and free the capacity in the scheduling system. A reschedule should cancel the old sequence and create a new one. Do not rely on a staff member to manually remove messages after every change.
Manage deliverability and privacy
Use transactional templates for appointment information, keep marketing promotions separate, and honor channel preferences. Avoid sensitive details in SMS previews. Log delivery status and suppress addresses or numbers that repeatedly fail.
Create failure and escalation paths
- If a message fails, try the approved secondary channel or create a staff task.
- If the timezone is missing, hold the reminder for review.
- If a high-value appointment is unconfirmed, notify the assigned employee.
- If the booking integration stops sending events, alert the workflow owner.
Measure the right comparison
Track confirmed appointments, reschedules completed without staff help, delivery failures, opt-outs, and no-show rate. Compare similar services and time periods; seasonality or a policy change can otherwise look like an automation win.
